Terms of Service

By accessing or using musicminim (“the Service”), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

1. The Service

musicminim provides AI-powered tools to help independent music teachers generate progress reports, practice plans, and parent communications, as well as features for scheduling, attendance, student records, invoicing, and earnings tracking. The Service is currently in beta and features may change.

2. Eligibility

You must be at least 18 years old to create an account. By registering, you confirm that you are 18 or over and that you have the legal capacity to enter into this agreement.

3. Account Registration

You must register for an account to access the tools. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us immediately at hello@musicminim.com if you suspect unauthorised access.

4. Acceptable Use

You agree not to:

  • Use the Service for any purpose other than legitimate music teaching administration.
  • Attempt to reverse-engineer, scrape, or systematically extract data from the Service.
  • Submit false, misleading, or harmful content to the AI tools.
  • Use the Service to generate content that is abusive, defamatory, or unlawful.
  • Attempt to circumvent usage limits or access controls.

5. Student Data

Any student data you enter into musicminim remains yours. You are responsible for ensuring you have appropriate consent from parents or guardians before storing their contact information or their child's information in the Service. We act as a data processor on your behalf for this data.

6. Data Processing Agreement

This section constitutes the data processing agreement between you (the data controller) and musicminim (the data processor) as required by Article 28 of the UK GDPR and the Data Protection Act 2018.

  • Subject matter and duration: musicminim processes personal data on your behalf for as long as your account remains active, or until you request deletion.
  • Nature and purpose of processing: storing and displaying student records; generating AI-powered documents using data you provide; sending emails and invoices to parents on your instruction; maintaining audit logs of communications.
  • Types of personal data: student names, ages, instruments, grade levels, lesson notes, and parent names and email addresses.
  • Categories of data subjects: your students and their parents or guardians.
  • Our obligations as processor: we will process personal data only on your documented instructions; ensure that persons authorised to process the data are bound by confidentiality; implement appropriate technical and organisational security measures; not engage sub-processors without your prior knowledge (current sub-processors are listed in our Privacy Policy); assist you in responding to data subject rights requests; delete or return all personal data on termination of the Service; and make available information necessary to demonstrate compliance.
  • Sub-processors: Neon (database), Vercel (hosting), Anthropic (AI generation), and Postmark (email delivery). All operate under data processing agreements and international transfer safeguards as described in our Privacy Policy.
  • Security: we apply industry-standard measures including encrypted connections (HTTPS/TLS), hashed credentials, and access controls limited to authorised personnel.

You acknowledge that by using the Service you enter into this data processing arrangement. If you require a separate signed DPA document, contact us at hello@musicminim.com.

7. AI-Generated Content

All AI outputs are drafts intended to be reviewed and edited before use. musicminim does not guarantee the accuracy, completeness, or suitability of generated content. You are responsible for reviewing all content before sending it to parents or students.

8. Beta Period & Pricing

During the beta period, the Service is provided free of charge. We reserve the right to introduce paid plans in the future. We will provide reasonable notice by email to registered users before any charges apply.

9. Availability

We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may suspend or modify the Service at any time with or without notice for maintenance, security, or other operational reasons.

10. Intellectual Property

musicminim and its content (excluding user-submitted data) are owned by us and protected by copyright. You retain ownership of all data and documents you create using the Service.

11. Termination

You may stop using the Service at any time. We may suspend or terminate your account if you breach these Terms, misuse the Service, or if we discontinue the Service. On termination, your right to access the Service ceases. You may request deletion of your data at any time by emailing hello@musicminim.com.

12. Limitation of Liability

The Service is provided “as is” without warranties of any kind. To the fullest extent permitted by law, musicminim shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service.

13. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms

We may update these Terms from time to time. We will notify registered users of any material changes by email at least 14 days before the changes take effect, stating the effective date. If you do not agree with the updated Terms, you may stop using the Service and request account deletion before that date. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
